In short: good rental software is not a calendar with a few extra modules. It has to follow the whole rental, from quote to invoice, and take the double work off the desk. Here are the eight things to check before choosing it.
Why a spreadsheet is no longer enough
While you have only a few vehicles, a spreadsheet and a diary will do. Then come overlapping bookings, the contract to copy out, the fine from three months ago to attribute, the deposit to release. Time no longer goes into renting, but into the paperwork around it.
Rental management software is there for this: one place where every piece of data is written once and goes wherever it is needed.
The 8 things it must do
1. From quote to booking, without retyping
The customer asks, you prepare the quote. When they accept, it should become a booking in one click, not a new form to fill in. The fleet calendar should show you who has each vehicle and when it comes back.
2. Bookings from your website
A booking widget on your website sends requests straight into the calendar, even outside opening hours. Better still if it accepts promo codes.
3. Documents read from a photo
Copying driving licences and ID cards at the desk wastes time. Good car rental software reads documents from a photo and fills in the customer record. For business customers the VAT number should be enough.
4. The contract signed on the tablet
No printing and scanning: the customer signs on the tablet, or with a code received on their phone.
5. Payments and deposits without a terminal
Taking card payments and holding the security deposit without a physical terminal (Virtual POS) removes a step and a cost. On return, extras (extra mileage, fuel, cleaning) are calculated from your price list.
6. A documented return
Photos of the vehicle at handover and return, with mileage and fuel, settle damage disputes before they start.
7. Obligations: CarGOS and fines
If you rent with your own licence, the details of the person taking the vehicle must be sent to CarGOS, the Italian police system, when the contract is signed (we explain it in CarGOS made simple). The software should send them without retyping. And when a fine arrives, it should tell you who was driving at that moment, so you can reply to the authority and recharge it (who pays the fines).
8. Invoices, deadlines and figures
The electronic invoice should be ready at the end of the rental. Maintenance, insurance, road tax and inspections should arrive as reminders. And reports should tell you how much each vehicle earns, also branch by branch.
Cars, vans and other vehicles: does anything change?
The rules of renting are the same: contract, deposit, return, fines. For short-term rental of vans and other vehicles, the deposit and the photos on return matter even more, because damage is more frequent and more expensive. The software should let you have different price lists for each type of vehicle.
Questions to ask before choosing
- Does it need installing? Better not: software that works in the browser can be used on computer, tablet and phone, and updates itself.
- How long does it take to get started? Ask how long it takes to be up and running with your vehicles.
- Who helps you when you have a doubt? Included support, training and guides make the difference in the first weeks.
- Is the price clear? Ask whether there is a set-up fee and what changes from one package to another.
- Can I start without a rental licence? If today you only give out courtesy cars, you may want to start renting without waiting for your own licence.
